Fleet software pays back through a handful of lines you can measure: repair and maintenance spend, idle fuel, admin time and avoidable downtime. The calculation is simple, but the answer depends heavily on the assumptions, so this page gives the formulas, a worked example with every assumption stated and a worksheet to fill in with your own numbers. Schedule a call to build your fleet's ROI model with real numbers.

The Two Formulas Behind Fleet Software ROI
ROI compares net gain with cost, and payback tells you how long the cost takes to earn back
ROI
(Annual savings - annual cost) / annual cost
Shown as a percentage. Positive means savings exceed cost.
PAYBACK
Year-one cost / (annual savings / 12)
The answer is in months. Ramp-up makes real payback longer.
BREAK-EVEN
Year-one cost / maintenance spend
The share of maintenance spend software must save to cover itself.
Where the Savings Hide in a Trucking Budget
Maintenance is a small slice per mile, but it is one of the few you can cut directly
The American Transportation Research Institute reported a total operating cost of $2.336 per mile for 2025, with repair and maintenance at about $0.22 per mile, up 8.6 percent from the year before. Another trade article reports the repair and maintenance figure as higher, so use your own number. Maintenance is the line software touches most directly, together with idle fuel and admin time.

Truck and trailer procurement

Repair and maintenance
$0.22
Repair and maintenance
Fewer missed services, earlier defect catches and better records can reduce the repair line.
Idle fuel
Telematics and idle reports can cut idle hours, and fuel is the biggest variable cost after labor.
Admin time
Digital inspections and reports replace paper handling, which saves hours but rarely cash on its own.

Worked Example: A 30-Truck Fleet
Every assumption is visible, so you can swap in your own and rerun the math
Assumptions: 100,000 miles a truck a year, repair and maintenance at $0.22 a mile ($22,000 a truck), 1,800 idle hours a truck a year burning 0.8 gallons an hour at $3.75 a gallon, and a conservative case of half the base-case reductions. The idle burn rate and structure follow FleetRabbit's own ROI model, which cites Argonne National Laboratory. The percentage reductions are assumptions and not measured results. Pricing uses free for up to 3 vehicles and $5 per vehicle per month after that.
| Line | Conservative | Base | Your fleet |
|---|
| Repair and maintenance saved per truck | $550 (2.5%) | $1,100 (5%) | ____ |
| Idle fuel saved per truck | $540 (10% less idle) | $1,080 (20% less idle) | ____ |
| Admin time saved per truck | $100 | $200 | ____ |
| Total saved per truck | $1,190 | $2,380 | ____ |
| Total saved, 30 trucks | $35,700 | $71,400 | ____ |
| Cost line | Example, 30 trucks | Your fleet |
|---|
| Software: first 3 vehicles free, 27 paid at $5 a month | $1,620 a year | ____ |
| One-time setup and training time (assumed) | $2,000 | ____ |
| Year-one cost | $3,620 | ____ |
The results are strong even at half the base assumptions, but ramp-up matters
| Result | Conservative | Base, full | Base, 50% ramp |
|---|
| Annual savings | $35,700 | $71,400 | $35,700 |
| Net after year-one cost | $32,080 | $67,780 | $32,080 |
| ROI | 886% | 1,872% | 886% |
| Payback | About 1.2 months | About 0.6 months | About 1.2 months |

Savings do not arrive on day one. Admin savings come first, fuel over a few months and maintenance through the year, and results depend on driver and technician adoption. The 50 percent ramp column is a rough allowance for that, and your first-year payback may be longer.
Break-even is the quickest sanity check: $3,620 spread over $660,000 of annual maintenance spend ($22,000 a truck across 30 trucks) is about 0.55 percent. If software cannot cut maintenance spend by that much through better scheduling and fewer missed defects, ask what you are buying.

What the ROI Model Leaves Out
Several real benefits are hard to price, and several risks are easy to forget
Benefits not counted
Less downtime, better resale records, lower insurance exposure and fewer compliance problems are real but hard to quantify, so the example excludes them.
Risks to the model
Low adoption, poor data entry and percentages that are too optimistic all shrink the result. Test with a small group and compare against your own numbers.
Vendor ROI claims often show gross savings without subtracting cost, or promise multiples with no method. One software guide, for example, cites breaking even in year one and 2 to 5 times return with no methodology. Ask for the assumptions behind any figure, including ours.

Frequently Asked Questions
Quick answers on fleet software ROI
How do I calculate fleet software ROI?
Subtract annual cost from annual savings and divide by annual cost. Savings come from maintenance, idle fuel, admin time and downtime, measured against your own baseline.
How long is the payback period?
It depends on your assumptions. In the 30-truck example it is about 1.2 months in the conservative case, but real payback is longer because savings ramp up.
How much of maintenance spend must software save to break even?
In the example, about 0.55 percent of annual maintenance spend, which is $3,620 over $660,000.
What does maintenance cost per mile?
ATRI reported about $0.22 per mile for 2025, as reported by FleetOwner. Use your own records for your fleet.
Are vendor ROI claims reliable?
Treat them as claims to test. Check whether costs are subtracted, what the assumptions are and whether the results are modeled or measured.
What savings are hardest to measure?
Avoided downtime, insurance effects and compliance risk, which the example leaves out.
What does FleetRabbit cost?
FleetRabbit is free for up to three vehicles and $5 per vehicle per month after that.
Track 3 vehicles free.
