Hindi Voice AI for MoRTH-Compliant Fleet Maintenance in India: Native-Language Shop Documentation

By Derek Goes on October 19, 2026

In most Indian truck workshops the repair is explained in Hindi and written down, if at all, in English. Between the two, detail goes missing: which kamani cracked, which side the brake chamber was leaking, whether the speed governor was checked before the fitness test. India’s Central Motor Vehicles Rules put the fitness certificate at the centre of a commercial fleet’s paperwork, and that certificate depends on maintenance being done and recorded. This guide covers what MoRTH’s rules ask of truck, trailer and chassis fleets, why voice in Hindi suits the workshop floor, and how to test it honestly. To see FleetRabbit’s voice work orders, book a short demo with our team.

Explained in Hindi at the truck, kept on record for the fitness test
Mechanics talk in the language they think in. The record keeps the unit, part, fault and repair in fixed fields, ready for the next service and the next fitness renewal.

Hindi is the first language of 43.6% of Indians, and of many more workshop floors

In the 2011 Census, about 52.8 crore people, or 43.63% of the population, gave Hindi as their mother tongue, counting dialects such as Haryanvi, Bundeli and Awadhi. Many more mechanics and drivers use it as a working language on transport routes across the north and centre of the country. Workshop Hindi is also its own dialect: part names are often English, so a mechanic might say “brake chamber” and “kingpin” inside a Hindi sentence.

Mother tongue, India, Census 2011
Hindi 43.63%
All other languages 56.37%

That mixed speech, often called Hinglish, is exactly what a voice tool for an Indian fleet has to handle. A tool that only understands formal Hindi will miss half the part names.

What MoRTH’s CMV Rules ask of a commercial truck fleet, and which parts maintenance owns

The Central Motor Vehicles Rules, 1989, administered by the Ministry of Road Transport and Highways, set several requirements for transport vehicles. Two of them depend directly on the workshop. The other two depend on devices being fitted and recorded correctly with the RTO.

Maintenance-led
Certificate of fitness
A transport vehicle isn’t deemed registered without one, under Section 56 of the Motor Vehicles Act. Renewals run two years for vehicles up to eight years old and one year after that.
Maintenance-led
Automated testing stations
MoRTH has moved fitness testing for transport vehicles to automated testing stations in phases since 2022, with deadlines extended as stations opened. Check your state’s current status.
Device and RTO
Tracking device and emergency button
Vehicle location tracking devices certified to AIS-140, under Rule 125H and state notifications for transport vehicles.
Device and RTO
Speed limiting function
Speed governors on transport vehicles, recorded in Vahan with a unique identification number.

Software doesn’t make a fleet MoRTH-compliant; vehicles and owners are. What a maintenance system can do is make sure every truck arrives at its fitness test serviced, with the repairs it needed done and written down.

Fitness renewals every two years, then every year after year eight

Under the Central Motor Vehicles (Eighth Amendment) Rules, 2022, effective from 5 April 2022, a renewed certificate of fitness for a transport vehicle is valid for two years while the vehicle is up to eight years old, and one year after that. For a mixed-age fleet, that means renewals arrive more often as trucks and trailers age, and the maintenance plan has to keep up.

Up to 8 years: renewal valid 2 years

Over 8 years: renewal valid 1 year

Each renewal is a deadline the workshop can plan for. Tying the fitness date to preventive maintenance scheduling means the brakes, steering and lights are checked in the weeks before the test, not the morning of it.

A 30-day pre-fitness check the workshop can run on every truck and trailer

Most failed fitness tests are maintenance items that were known and not fixed, or fixed and not recorded. A short check a month before each renewal date catches both, and it is the kind of job that is fastest to record by voice: the mechanic walks the unit and says what they find.

Mechanical
Service and parking brakes, air leaks, brake chambers
Steering play and linkages
Kamani, U-bolts and suspension bushes
Tyres, tread and wheel nuts on truck and trailer
Exhaust, silencer and BS-VI after-treatment warnings
Devices and records
Headlamps, indicators, reflectors and reflective tape
Speed governor working, with its ID recorded
Tracking device and emergency button working
Pollution certificate current
Chassis number clean and readable

Run as a custom inspection, this check leaves a dated, signed record of what was found and fixed before the truck went for testing.

Where records break: what a 2025 CAG audit found in one state’s fitness data

A Comptroller and Auditor General audit of Uttarakhand’s transport department, published in 2025, shows how far paperwork and reality can drift. Its sample of 216 vehicles found 188 that hadn’t renewed fitness by January 2025, 42 of them with insurance renewed after fitness had lapsed.

67,603
vehicles with active Vahan status had no valid fitness certificate on 31 March 2024
12,001
older transport vehicles got fitness certificates in 2019–24 with no speed governor ID entered
397
transport vehicles were still sending tracking-device alerts after their fitness had expired

None of these is a voice problem. They are record problems, and they are what a workshop record is meant to prevent: a renewal date nobody tracked, a device nobody logged, a truck running on an expired certificate.

The shop terms a Hindi voice tool has to understand

Here are common parts as Indian mechanics often say them. Most are English loanwords written in Devanagari; a few, like kamani and dala, are Hindi workshop words. Usage varies by region, so check these with your own team.

Truck, trailer and chassis jobs that most need a clear record

Every unit type has its own items that fail fitness tests or cause breakdowns, and its own reasons the note matters.

Truck
BS-VI after-treatment and brakes
Since April 2020, new trucks have been BS-VI, with diesel exhaust fluid, SCR and particulate systems that need logged maintenance. Brakes, steering and suspension are what the fitness test checks first.
Trailer
Kingpin, leaf springs and tyres
Semi-trailers and multi-axle trailers carry most of the weight and most of the tyre cost. A cracked kamani or worn kingpin found at the yard is cheaper than one found at a checkpost.
Chassis
Body work and the chassis number
Many trucks are bought as a chassis and bodied separately. The chassis number on the registration must match the vehicle at fitness testing, and body repairs belong on the same record.

Each of these jobs belongs in the unit’s history. Complete fleet maintenance records are what you show when a fitness test, an insurer or a buyer asks what was done.

How a Hindi voice work order should run, from the bay to the fitness file

The flow is the same in any language. What matters is that the mechanic confirms the summary and that the record lands in fields, not free text.

1
Speak
The mechanic describes the job in Hindi, or Hindi with English part names, at the truck.
2
Structure
Unit, part, problem, cause, repair and parts are pulled into fixed fields.
3
Read back
The summary is read back so the mechanic confirms it before saving.
4
Store
The record is kept in the fleet’s working language, with the original transcript.
5
Plan
Repairs and recurring faults feed the next service and the fitness renewal.

Hindi, English or both: choosing the record language for your fleet

There’s no rule that says which language a workshop record has to be in. The right answer depends on who reads it after the mechanic.

Record in Hindi
Works when the supervisor, owner and next mechanic all read Hindi, for example a single-region fleet with an owner-operated workshop.
Record in English, transcript in Hindi
Works for fleets with head offices, insurers or OEM warranty teams who read English. The Hindi transcript stays attached for checking.
Codes first, language second
Works for large fleets across states. Unit, part and repair codes compare across workshops, whatever language each one speaks.

Inspection checklists for drivers can follow the same pattern. FleetRabbit’s digital inspection app supports custom inspection types, so a pre-trip check can be built around the items a fitness test looks at.

Hindi voice AI and MoRTH fitness questions from Indian fleet owners

Is FleetRabbit MoRTH-compliant software?
No software makes a fleet compliant. MoRTH’s rules apply to vehicles and owners. FleetRabbit keeps the maintenance and inspection records that help a truck pass fitness testing and show what was done.
Does FleetRabbit’s voice work order support Hindi?
Hindi isn’t described on FleetRabbit’s published voice pages. Test it with your own mechanics in a demo before you plan around it.
How often does a truck need a fitness certificate renewed?
Under the 2022 amendment, renewals are valid for two years for vehicles up to eight years old and one year for older vehicles.
Can mechanics mix Hindi and English?
Most do, because many part names are English loanwords. Any voice tool you consider should be tested on mixed speech, not just pure Hindi.
Should the work order be in Hindi or English?
Pick one working language for the record, based on who reads it after the mechanic, and keep the original transcript for reference.
Is there a free plan?
Yes. FleetRabbit is free for up to three vehicles, which is enough to test a Hindi workflow on a few trucks.
